Grow Your Club (“we”, “us”, “our”) operates the website growyourclub.net and provides hosted Last Man Standing software for clubs and groups.

2. What personal data we collect
When you use Grow Your Club, we may collect and process:
- Account details: username, email address, contact phone number, and password (stored in hashed form only).
- Competition data: entry names, weekly team selections, score predictions, elimination status, and standings.
- Club administration data: group name, starting gameweek, entry fee settings, and admin contact details submitted when requesting a club instance.
- Technical data: session cookies required for sign-in, server logs (such as IP address, browser type, and timestamps), and error diagnostics.
- Communications: records of transactional emails we send (for example password resets, registration approvals, and group notifications).
We do not intentionally collect special categories of personal data (such as health or biometric data).
3. How we use your data
We use personal data to:
- Create and manage user accounts within your club instance.
- Operate the Last Man Standing competition (selections, deadlines, eliminations, and tie-breakers).
- Authenticate users and maintain secure sessions.
- Send service-related emails (password reset, entry approval/rejection, group approval, admin notifications, and email verification).
- Support club administrators in managing members and entries.
- Maintain security, prevent abuse, and troubleshoot technical issues.
- Comply with legal obligations.
4. Legal bases for processing (GDPR)
We process personal data on the following bases:
- Contract / performance of a service: to provide the platform and run your club’s competition.
- Consent: where you tick the registration checkbox agreeing to these terms and this policy, and consent to your contact details being shared with your club administrator.
- Legitimate interests: to keep the service secure, reliable, and to communicate about your account — balanced against your rights.
- Legal obligation: where we must retain or disclose data to comply with applicable law.
5. Who we share data with
We share personal data only where necessary:
- Your club administrator: username, email, contact number, and entry details for members in their club instance. Club administrators manage entry fees, local rules, and prize distribution separately from Grow Your Club.
- Service providers (processors):
- Render — application hosting and database infrastructure.
- Resend — delivery of transactional email.
- API-Football (RapidAPI) — fixture and results data; we do not send your personal identity to this provider for routine fixture lookups.
- Legal and safety: regulators, courts, or law enforcement when required by law or to protect rights and safety.
We do not sell your personal data.
6. International transfers
Some of our service providers may process data outside the European Economic Area (EEA), including in the United States. Where this occurs, we rely on appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms approved under applicable data protection law.
7. How long we keep data
- Active accounts: retained while your club instance is active and you have an account.
- Password reset tokens: retained only for a short period until used or expired.
- Deleted or archived instances: when a club instance is archived or deleted by an administrator, associated user and competition data may be removed or anonymised in line with admin actions and operational backups.
- Server logs: retained for a limited period for security and troubleshooting.
8. Your rights
Under GDPR and applicable Irish data protection law, you may have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request erasure (“right to be forgotten”) in certain circumstances.
- Restrict or object to processing in certain circumstances.
- Data portability for data you provided, where technically feasible.
- Withdraw consent where processing is based on consent (without affecting prior lawful processing).

9. Security
We use appropriate technical and organisational measures to protect personal data, including password hashing, HTTPS encryption in transit, access controls, and hosting on reputable infrastructure. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
10. Cookies and sessions
We use essential session cookies to keep you signed in. These are required for the service to function and are not used for advertising. You can control cookies through your browser settings, but disabling essential cookies may prevent sign-in.
11. Children
Grow Your Club is intended for use by club and group members. Individual clubs are responsible for ensuring participants meet any age or eligibility requirements that apply to their competition. If you believe we have collected data from a child without appropriate authority, contact us and we will take reasonable steps to delete it.
12. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the service after changes take effect constitutes acceptance of the updated policy where permitted by law.
